Audit-Proof Read Confirmations: Compliance Without Excel Lists

"I didn't know about that." It's the most expensive sentence anyone can utter in a company. When a new work instruction, a changed safety rule or an updated procedure doesn't reach people, it's not just annoying — in the worst case, it's a liability issue. And anyone who then has to prove who read the new version quickly realises: with Excel lists and mass emails, that's a full-time job, and in front of an auditor or a court it's worthless.

Read confirmation per version, not per document
The first important distinction: HELITS ties the read confirmation to the document version, not the document. A new version means a new mandatory confirmation. Someone who acknowledged the old version two years ago isn't automatically off the hook for the revised one — they owe the confirmation again.
The second distinction is the dynamic side. A new employee starting today owes the confirmation for every mandatory document relevant to them from day one — automatically, without anyone having to maintain a list. The system knows who has to have read what, and keeps the status current itself.
Escalation nobody forgets
A read confirmation is only as good as the reminder behind it. HELITS works with multi-stage escalation:
- Advance warning — before the deadline runs, the person sees the open task directly in the banner on their dashboard.
- Weekly reminder — if the confirmation is still missing, the system reminds them automatically.
- Notification to management — if the task passes its deadline, the manager is informed.
Deadlines, stages and recipients are configurable. If a business runs the process differently — say, with an extra stage for the quality manager or shorter deadlines for safety-critical documents — we adapt it individually. That's the tailored part that separates the standard solution from a rigid template.
And most importantly for compliance: every step lands in the audit log. Date, time, person, version. The evidence isn't something to piece together after the fact — it's available at the press of a button.
Reviewed first, then visible
Read confirmations only matter if what's being read has genuinely been approved. That's why the approval workflow comes before distribution. In quality management, nothing may go online uncontrolled — and HELITS models that cleanly:
- Multiple reviewers in parallel, individuals or whole groups.
- A comment on every decision, so it stays traceable why something was approved or rejected.
- Only after full approval does the version become visible to employees.
- On rejection, the document automatically returns to draft.
This creates a closed chain: draft → review → approval → visible version → mandatory read confirmation → audit log. No gap through which an unreviewed or outdated version can slip into circulation.
Who sees what is no accident
So that employees aren't flooded with documents that don't concern them, HELITS controls visibility through a central permissions matrix — per group, module and area. Permissions are inherited along the area hierarchy: a right on a parent area applies automatically to all sub-areas and the documents within them.
The result: each person sees exactly the documents they're responsible for — and only owes a read confirmation for those. That keeps the obligation list lean and taken seriously, instead of degenerating into an ignored mass mail.
Compliance without Excel lists
